Position Overview:

We are seeking a proactive and efficient Administrative Assistant to join our dynamic team at YTP. The successful candidate will play a pivotal role in ensuring the smooth operation of our IT office by managing reception duties, attending to guests, handling phone calls, and providing administrative support to Business Unit (BU) heads.

Key Responsibilities:

  • Serve as the first point of contact for visitors and guests, providing a warm welcome and ensuring their needs are met.
  • Manage reception duties, including answering and directing incoming calls, taking messages, and handling inquiries.
  • Maintain a tidy and organized reception area, ensuring it reflects the professionalism and ethos of the company.
  • Act as the Personal Assistant (PA) to Business Unit heads, assisting with scheduling, correspondence, and other administrative tasks as required.
  • Coordinate meetings and appointments, including booking conference rooms, arranging refreshments, and preparing meeting materials.
  • Assist with travel arrangements for team members, including booking flights, hotels, and transportation.
  • Handle general administrative tasks such as filing, photocopying, and data entry with accuracy and attention to detail.
  • Anticipate the needs of the office and proactively address any issues or concerns that may arise.
  • Demonstrate quick thinking and problem-solving skills to address ad-hoc tasks and requests efficiently.
  • Collaborate with team members to ensure seamless communication and coordination across departments.


  • Proven experience in an administrative role, preferably in a fast-paced office environment.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.
  • Strong organizational skills and attention to detail, with the ability to multitask and prioritize effectively.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications.
  • Ability to work independently and take initiative, demonstrating resourcefulness and a proactive approach to tasks.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Previous experience in a similar role within the IT industry is a plus.


  • High school diploma or equivalent required. Bachelor’s degree preferred.
